Organising a coach trip - any tips ?   
I'm hinking of organising a trip one Sunday between Southampton and
Bletchley Park museum complex, Milton Keynes. Not something I've done
before.
30 to 35 seater coach and driver for the day about £500 and a group
admission to the museum of about £250.
So a serious financial liability should things go wrong. Main sources of
people would be from 2 clubs/societies and personal friends.
What to look for in terms and conditions for coach breakdown on the morning
journey , public liability etc ? With such a block booking there are extra
features laid on and so there is still a payment (reduced but still
substantial) ,due to the museum, if no-one arrives on the day, invoiced
later.
110 mile journey, anticipate 08.00 start to get there for 10.00 opening,
Sunday traffic.
Comfort break/ stretch legs half-way ?
I anticipate 2 lists (with email address and phone number, addresses) an A
list where people pay a £10 deposit , refundable if the magic number of 30
people is not reached, then £15 before entering the coach in the morning and
a B list , in reserve, for people who drop out from the A list , cannot
commit until they have a specific date etc.
Mobile phone , with circulated number , would obviously be useful near and
on the day.
Am thinking of an obscure file on a website with current info and intial
letters of those on A and B list, and a circulated email with similar info.
Print-off background material for people to read and pass around on the
coach.
Determine , in advance, possibility of pick-up /drop off points in
neighbouring towns, negotiable.
Accompanied chidren probably full adult cost.
Receipt book for deposits and full payments
Clipboard and lists and distinctive sticky "lapel" badges for those who've
fully paid up , for quick entry to the coach.

Not a chance.  Because it's a coach, not a car, it accelerates slower 
and is limited to 62MPH. In addition to that, you've got the 20-30 
minutes it takes to get people on and off. Add another hour on.

Get all the money up front (strictly non-refundable unless insufficient
interest) and only book it when you have enough to cover all the costs or
.... let someone else do it as you will almost certainly be let down by
those who are certain they want to go and then don't stump up with the
cash.

If you do go ahead check and double check at each stop that you have
everyone on board!

Yes, thanks for that, I was not aware it was less than 70 mph limit.

At the moment it looks problematic, for a museum group booking at least, as
a 6 week notification period is required.
